JOB TITLE: NOLS Wilderness Medicine Institute (WMI) Program Assistant
REPORTS TO: NOLS WMI Sponsor Coordinator
JOB OBJECTIVE: The WMI Program Assistant (PA) works as an integral member of the WMI Programming Team. The PA is primarily responsible for contracting all WFA courses, regularly scheduled sponsor communication, and providing logistical support for all WMI programs.
QUALIFICATIONS: The ability to develop a firm understanding of the WMI mission, organizational system, sponsor and instructor policies. The Program Assistant (PA) must possess the ability to work independently, organize multiple duties and prioritize workload. Strong communication, planning and logistical skills are essential. Required skills include programming experience, exceptional phone skills, computer literacy, database use, strong formal writing and editing skills, computer layout skills, and email capabilities. Preferred skills include course experience with WMI.
LEADERSHIP OR SUPERVISORY DUTIES: Works closely with the Sponsor Coordinator, and Program Manager. Networks internally with all WMI administrative staff, and attends department meetings on a weekly basis. Communicates externally with WMI sponsors representing WMI policies, WMI course facilities and WMI instructional staff. Functions as an integral member of the WMI Programming Team.
30% Responsible for processing contracts for all Wilderness First Aid (WFA) courses. Manages all sponsor contracts and deposits. Responsible for regular communication with sponsors to collect information needed to support courses. Contacts sponsors whose contracts and/or deposits are delinquent. Supports WMI sponsors as needed.
30% Provides logistical support for WMI sponsored courses held in locations throughout the United States and various international locations. This includes securing course classroom and instructor housing facilities, .
15% Writes and reviews WMI student pre-course information letters. Maintains and processes facility contracts. Collects and maintains facility and course specific information.
10% Enters and evaluates course summaries.
10% Takes part in the WMI Call Distribution Schedule and provides coverage for absences of the WMI Registrar and the Staffing Assistant.
5% Maintains course schedule and supporting documents on the WMI website. Creates course folders for each booked course.
