JOB TITLE: Human Resources Administrative Assistant
REPORTS TO: Director of Human Resources and Diversity
JOB OBJECTIVE: Provides administrative and organizational support to the Human Resources Office. Serves as back-up support to executive and risk management offices.
QUALIFICATIONS: Three to four years of professional experience in business administration. Strong organization skills, ability to communicate professionally to a wide range of audiences including trustees, donors, government agencies, students and employees of all levels on a daily basis. Ability to prioritize and manage multiple tasks independently. Excellent computer skills preferably Macintosh-word processing, spreadsheet and database applications. Must handle sensitive communications with confidentiality.
LEADERSHIP OR SUPERVISORY DUTIES: This person is the alternative responsible officer for the J-1 program.
FUNDS AND/OR PROPERTY: Calculates part time insurance and travel reimbursements. Processes travel authorities, merit pay awards and paid days for AFP training. Reconciles petty cash. Orders office supplies.
RESPONSIBILITIES:
- Creates and maintains electronic and hard personnel files. Assists the staffing coordinators in the contracting process. Processes Wyoming workers' comp claims and generates yearly report. Notifies employees of available job openings and ensures that job announcements are posted externally. Responds to all inquiries for employment at NOLS via the HR email.
- Documents travel for staffing and HR personnel on the Carbon Tracker database.
- Is responsible for creating and/or maintaining the following logs or reports: instructor sick leave, instructor course data, instructor/part time staff insurance, emergency and annual faculty travel logs, contract status, merit pay, ROPE awards, annual faculty training days, and Wyoming Training grants.
- Maintains records for foreign employees, requests and issues DS 2019’s. Completes and files the J-1 Visa annual report. Coordinates the foreign work visa process.
- Sends reminders for articles to be included in the quarterly newsletter. Files the submissions and sends to Field Staff Director for approval.
- Assist the administration and partnerships director, executive assistant and risk management director as needed.
- Other duties as assigned.
